These Terms & Conditions govern access to and use of the Legworx software platform and associated mobile application. Last updated: 11 September 2026

Legworx is provided by BG Retrofit, referred to in these Terms as “BG Retrofit”, “Legworx”, “we”, “us” or “our”.

By creating a Legworx account, starting a free trial, purchasing a subscription, or using the Legworx service, you agree to these Terms & Conditions.

1. About Legworx

Legworx is a digital site compliance and document acknowledgement platform designed to help organisations manage the distribution, allocation and acknowledgement of site-specific documents across multiple projects and contractors.

The service includes a web-based administration platform and a mobile application for contractors and other authorised users.

Legworx may be used to:

  • create and manage jobsites;
  • add and manage contractors and authorised users;
  • upload and allocate site-specific documents, including Risk Assessments and Method Statements (“RAMS”);
  • distribute documents to relevant users;
  • record users' acknowledgement of documents;
  • maintain timestamped records of acknowledgements;
  • monitor outstanding acknowledgements; and
  • export compliance and acknowledgement records.

Features may be added, amended or improved from time to time.

2. Business Use

Legworx is primarily provided as a business-to-business service.

Where a subscription is purchased on behalf of a company, partnership, sole trader, charity, public body or other organisation, the person purchasing or administering the subscription confirms that they have authority to act on behalf of that organisation.

The subscribing organisation is referred to in these Terms as the “Customer”.

Individuals given access by the Customer, including administrators, employees, contractors and subcontractors, are referred to as “Users”.

3. Customer Responsibilities

The Customer is responsible for its use of Legworx and for the activities of Users to whom it provides or authorises access.

The Customer remains responsible for:

  • determining which documents are required for each project;
  • ensuring documents uploaded to Legworx are current, accurate and appropriate;
  • assigning the correct documents to the correct jobsites and Users;
  • determining whether RAMS and other health and safety documentation are suitable and sufficient;
  • assessing contractor and worker competence;
  • providing necessary information, instruction, training and supervision;
  • ensuring appropriate consultation and communication with workers;
  • complying with applicable health and safety, construction, employment and data protection legislation; and
  • retaining any additional records required by law or by the Customer's own management systems.

The Customer must ensure that information entered into Legworx is accurate and kept reasonably up to date.

4. RAMS and Health & Safety

Legworx is a document distribution, acknowledgement and record-keeping system. It is not a health and safety consultancy or document approval service.

Uploading, distributing or acknowledging a document through Legworx does not mean that BG Retrofit has reviewed, approved or certified that document.

Legworx does not determine whether:

  • a Risk Assessment is suitable and sufficient;
  • a Method Statement provides a safe system of work;
  • RAMS are appropriate for a particular project or activity;
  • a contractor or individual is competent;
  • additional information, instruction, training or supervision is required; or
  • an organisation has complied with its statutory duties.

Use of Legworx does not replace the duties of clients, designers, Principal Designers, Principal Contractors, contractors, employers, workers or other dutyholders under the Construction (Design and Management) Regulations 2015, the Health and Safety at Work etc. Act 1974, or other applicable legislation.

The relevant dutyholder remains responsible for determining what is required for the work concerned.

5. Meaning of an Acknowledgement

Where Legworx records a User's acknowledgement of a document, that record provides evidence that the identified User has made the acknowledgement recorded by the system in relation to the identified document and jobsite at the recorded date and time.

An acknowledgement may include a User confirming that they have read, understood and/or accepted requirements contained within a document, according to the wording presented to the User at the time.

An acknowledgement does not constitute approval by BG Retrofit of:

  • the document or its contents;
  • the adequacy of the RAMS;
  • the competence of the User;
  • the safety of the proposed work; or
  • the Customer's health and safety arrangements.

The Customer remains responsible for determining whether an electronic acknowledgement is sufficient for its particular purpose and whether additional briefing, induction, training, supervision or verification is required.

6. User Accounts and Security

Users must provide accurate account information and must keep login credentials secure.

Accounts are intended for use by the individual to whom they are issued and should not be shared.

Customers and Users must take reasonable steps to prevent unauthorised access to Legworx and must notify BG Retrofit promptly if they become aware of suspected unauthorised access or compromise of an account.

BG Retrofit may temporarily suspend an account where we reasonably believe this is necessary to protect the security or integrity of Legworx, the Customer or other Users.

7. Subscription Plans

Legworx currently offers the following standard monthly subscription plans:

Enterprise and white-label arrangements may be agreed separately.

Unless expressly stated otherwise, standard plans include unlimited contractor Users, document uploads and acknowledgements, subject to reasonable use and technical limitations.

An Active Site is a project or jobsite currently being managed through the Customer's active Legworx workspace. An archived site does not count towards the Customer's active-site allowance.

Historical records associated with an archived site are not automatically deleted simply because the site is archived.

BG Retrofit is not currently VAT registered and the prices shown above therefore do not include VAT. If BG Retrofit becomes required to charge VAT or another applicable tax in future, the Customer will be notified before the change takes effect.

8. Free Trial

Eligible new Customers may receive a 30-day free trial.

Payment details may be required when the trial begins, but no subscription charge will be made during the free-trial period.

Unless the Customer cancels before the trial ends, the selected paid subscription will automatically begin at the end of the 30-day trial and the payment method provided will be charged the applicable monthly subscription fee.

The date on which the first payment will be taken will be displayed during checkout.

BG Retrofit may limit free trials to one trial per Customer or organisation and may refuse or withdraw a trial where there is evidence of abuse.

9. Payments and Renewals

Subscriptions are billed monthly in advance unless otherwise agreed.

Payments are processed through Stripe or another payment provider notified to the Customer.

BG Retrofit does not ordinarily receive or store the Customer's complete payment-card details.

Subscriptions automatically renew each month until cancelled.

If payment fails, we may contact the Customer and attempt to collect payment again.

Where payment remains outstanding, BG Retrofit may restrict or suspend some functionality. Wherever reasonably practicable, we will avoid deleting historical compliance records solely because a payment has failed.

10. Cancellation, Upgrades and Downgrades

Customers may cancel their subscription at any time.

Unless otherwise stated during cancellation, cancellation will take effect at the end of the current paid billing period. Access to paid functionality will continue until that date.

A Customer cancelling during a free trial will not be charged provided cancellation is completed before the trial converts to a paid subscription.

Customers may request an upgrade or downgrade to another Legworx plan.

Where a Customer exceeds the active-site or administrator limit for its current plan, it may be required to upgrade before creating additional active sites or administrator accounts.

Cancellation does not automatically entitle the Customer to a refund for a billing period that has already commenced, except where required by law or expressly agreed by BG Retrofit.

11. Customer Data and Documents

As between BG Retrofit and the Customer, the Customer retains ownership of documents and business information uploaded to Legworx by or on behalf of the Customer.

The Customer grants BG Retrofit the rights necessary to host, process, reproduce and transmit that information solely to the extent reasonably necessary to provide, secure, maintain and support the Legworx service.

The Customer is responsible for ensuring that it has the necessary rights and lawful basis to upload and process information through Legworx.

BG Retrofit will not claim ownership of the Customer's RAMS, project documentation or other uploaded business records.

12. Data Protection and Privacy

Personal information processed through Legworx will be handled in accordance with applicable data protection law and our Privacy Policy.

The Customer is responsible for determining its own obligations as a data controller where it uploads or otherwise processes personal information concerning employees, contractors, residents, clients or other individuals through Legworx.

Payment information is processed by Stripe or the applicable payment provider and may also be subject to that provider's privacy terms.

Please refer to the BG Retrofit Privacy Policy for further information about how personal data is handled.

13. Data Retention, Export and Account Closure

Customers may export certain records using the export functions provided within Legworx.

Customers are responsible for retaining copies of records they are legally or contractually required to retain.

Because acknowledgement records may form part of a Customer's health and safety or project compliance records, BG Retrofit will not intentionally alter historical acknowledgement records merely because a project has been archived.

Following termination of a subscription, BG Retrofit may retain Customer data for a reasonable period to allow account recovery, regulatory compliance, dispute resolution, backup management and legitimate record-keeping.

Data may subsequently be deleted or anonymised in accordance with our data-retention arrangements and applicable law.

Customers should therefore export records they wish to retain before closing their account.

Nothing in these Terms guarantees indefinite storage of Customer data.

14. Availability and Maintenance

We aim to provide a reliable service but do not guarantee that Legworx will be available continuously or without interruption.

Access may occasionally be unavailable because of:

  • maintenance;
  • software updates;
  • security work;
  • hosting or communications failures;
  • third-party service failures; or
  • circumstances outside our reasonable control.

Where reasonably practicable, planned maintenance that is likely to cause significant disruption will be scheduled to minimise inconvenience.

We may update or modify Legworx where reasonably necessary to improve functionality, maintain security, comply with legal requirements or develop the service.

We will not intentionally remove a material core feature of a paid subscription without reasonable justification.

15. Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation.

Subject to the above, BG Retrofit will not be responsible for losses arising from:

  • inaccurate, incomplete, unsuitable or outdated documents uploaded by a Customer;
  • the Customer assigning a document to the wrong site or User;
  • a User failing to read, understand or comply with a document;
  • inadequate RAMS or health and safety arrangements;
  • a Customer's failure to provide appropriate information, instruction, training or supervision;
  • unauthorised use resulting from the Customer's failure to protect account credentials;
  • loss caused by systems or services outside BG Retrofit's reasonable control; or
  • decisions made by the Customer solely in reliance on information recorded within Legworx where further professional or statutory assessment was required.

Legworx is intended to support the Customer's compliance-management processes. It does not guarantee that the Customer complies with any particular law, regulation, contractual requirement, accreditation or management standard.

To the extent permitted by law, BG Retrofit will not be liable for indirect or consequential loss, loss of profit, loss of business, loss of opportunity or loss of anticipated savings.

Subject to liabilities which cannot lawfully be limited, BG Retrofit's total aggregate liability arising out of or in connection with the Legworx service during any 12-month period will not exceed the greater of (a) the subscription fees paid or payable by the Customer during that 12-month period and (b) £1,000.

This limitation is intended to allocate risk proportionately having regard to the subscription fees charged for the service.

16. Intellectual Property

Legworx, including its software, design, databases, branding, logos and associated intellectual property, remains the property of BG Retrofit and/or its licensors.

A subscription provides the Customer with a limited, non-exclusive and non-transferable right to use Legworx for its internal business purposes for the duration of the subscription.

Customers and Users must not:

  • copy or redistribute the Legworx software;
  • attempt to reverse engineer the service except where expressly permitted by law;
  • interfere with security features;
  • attempt to gain unauthorised access to another Customer's information; or
  • use Legworx in a manner intended to damage, overload or disrupt the service.
17. Acceptable Use

Legworx must not be used:

  • for unlawful purposes;
  • to upload malicious software;
  • to intentionally infringe another person's intellectual property or privacy rights;
  • to gain unauthorised access to systems or data;
  • to impersonate another person;
  • to create false or deliberately misleading compliance records; or
  • in any way likely to compromise the security or operation of the service.

BG Retrofit may suspend access where we reasonably believe serious misuse has occurred.

18. Suspension and Termination

BG Retrofit may suspend or terminate access where the Customer:

  • materially breaches these Terms;
  • repeatedly fails to pay subscription fees;
  • uses the service unlawfully;
  • creates a material security risk;
  • attempts to compromise another Customer's information; or
  • seriously misuses the Legworx platform.

Where appropriate, we will give the Customer reasonable notice and an opportunity to remedy a breach before termination.

Immediate suspension may be necessary where there is an urgent security, legal or safety concern.

Termination does not affect rights or obligations that arose before termination.

19. Third-Party Services

Legworx relies on certain third-party services for functions such as hosting, payment processing, email delivery, mobile distribution and other technical infrastructure.

BG Retrofit is not responsible for independent third-party services outside our reasonable control, although we will take reasonable steps to select and manage service providers appropriately.

Use of the Apple App Store, Google Play Store, Stripe or other third-party services may also be subject to their own terms.

20. Changes to Prices and These Terms

We may update these Terms where reasonably necessary, including to reflect:

  • changes to Legworx;
  • changes in law or regulation;
  • security requirements; or
  • changes to our commercial arrangements.

Where a change materially affects an existing Customer's rights or obligations, we will provide reasonable notice.

Any increase to recurring subscription prices will be notified in advance and will not retrospectively change fees already paid for a completed billing period.

Continued use of Legworx after notified changes take effect constitutes acceptance of the revised Terms, subject to applicable law.

21. Communications

Service-related notices may be sent to the email address associated with the Customer's Legworx account.

Customers are responsible for maintaining an up-to-date administrative contact email address.

Electronic communications may include account notifications, security notices, subscription information, payment notices and material changes to the service or these Terms.

22. Entire Agreement

These Terms, together with any applicable order, subscription information, Privacy Policy and any expressly agreed additional terms, constitute the agreement between BG Retrofit and the Customer concerning use of Legworx.

If a separately signed agreement between BG Retrofit and a Customer expressly conflicts with these Terms, the separately signed agreement will take precedence to the extent of that conflict.

23. Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue in effect.

24. No Waiver

Failure by either party to enforce a right immediately does not mean that right has been waived.

25. Governing Law and Jurisdiction

These Terms and any dispute or claim arising from them are governed by the laws of England and Wales.

The courts of England and Wales shall have jurisdiction in relation to disputes arising from these Terms, subject to any mandatory legal rights that apply.
